The Opportunity

This is a hands-on operations role for someone who already understands how commercial buildings work and wants to grow into full property management. You will sit beside the Regional Property Manager and help run a multi-state portfolio of commercial, retail, and industrial properties.

We are not hiring a desk administrator. We are hiring an early-career operator with a facilities or building-systems background — someone who can walk a roof, talk to an HVAC tech without getting lost, keep vendors honest, and close work orders in Yardi the same day. If you came up through building engineering, facilities, or commercial maintenance and you want the property-management track, this is that seat.

What You Will Own

Property Operations

•       Support day-to-day operations of assigned commercial properties — log, track, and close issues promptly.

•       Inspect properties with the Regional Property Manager and on your own. Document findings, photos, and follow-up items the same day.

•       Coordinate routine repairs, preventive maintenance, and service contracts with vendors and contractors.

•       Help run capital and tenant-improvement work: gather bids, check scope against the field, schedule access, and track progress.

•       Track code, safety, insurance, and vendor COI requirements so the portfolio stays compliant.

•       Support due diligence walk-throughs, redevelopment work, and municipal inspections when assigned.

Building Systems — This Is the Difference

•       Recognize HVAC, electrical, plumbing, roofing, and fire-life-safety issues in the field and describe them accurately so the right trade is dispatched the first time.

•       Review vendor recommendations instead of rubber-stamping them. Ask what failed, what is being replaced, and whether the price matches the work.

•       Support energy, indoor-air-quality, and building-automation items when they come up — you do not need to be the engineer of record, but you cannot be lost in a mechanical room.

•       Escalated after-hours and weather events: help triage, get the right contractor moving, and keep the Regional Property Manager informed with facts.

Tenant Relations

•       Be the reliable first call for assigned tenants. Respond quickly, follow through, and close the loop.

•       Support move-in and move-out walk-throughs and condition documentation.

•       Escalate issues that exceed your authority with clear facts and a recommended next step — not a problem with no plan.

•       Represent White-Spunner professionally on site. Tenants should experience competence, not excuses.

Vendors and Contractors

•       Schedule and oversee vendor work. Confirm the job matches the scope before you close the work order.

•       Obtain and organize bids for repairs and service contracts.

•       Keep vendor contacts, insurance certificates, and service agreements current.

•       Do not leave a site until you have seen the completed work or have a documented reason you could not.

Systems, Money, and Paper

•       Use Yardi every day — work orders, inspections, tenant and vendor records. Clean data. No workarounds.

•       Help with invoice coding, CAM support items, and capital tracking as directed.

•       Follow existing procedures and flag gaps you see in the field with a practical fix.

•       Write clearly. Much of this job is emails, notices, bid summaries, and inspection notes that the Regional Property Manager can send without rewriting.

What We Are Looking For

The strongest applications will submit their resumes AND complete the Culture Index at this link:

Experience

•       2–5 years in commercial property operations, facilities, building engineering, HVAC/electrical service, or a related field role. Commercial real estate is preferred; a strong facilities background with commercial buildings is equally welcome.

•       Proven time coordinating vendors, contractors, or service trades — not only answering phones.

•       Comfort on a roof, in a mechanical room, and in a tenant suite on the same afternoon.

•       Yardi or a comparable CMMS / property system (Corrigo, Angus, Building Engines, etc.) preferred.

•       Working knowledge of commercial leases (NNN, gross, modified gross) is a plus — we will teach the rest.

•       Microsoft Outlook and Excel used daily, not occasionally.

•       Valid driver’s license and reliable transportation for regular property visits across the Gulf Coast.

•       EPA 608, OSHA 10, HVAC fundamentals, or similar trade credentials are a plus. We will support the right person in adding them.

How You Work

•       Organized. Many open items. Nothing dropped.

•       Detail-oriented. Records are complete the first time.

•       Responsive. Tenants, vendors, and your manager hear back the same day.

•       Practical. You work the issue in front of you and know when to escalate.

•       Direct. You stand on facts, not guesses.

•       Coachable. You do not have 25 years in this chair yet, and you are here to learn the full PM skill set.

•       Ownership. You treat assigned properties as if they were yours.

White-Spunner Realty is an equal opportunity employer. We evaluate candidates on qualifications, character, and fit with our core values.
